Positions and Responsibilities:

As an MSA Board Member, your responsibilities include those listed below as well as collaborating and assisting the board with all events and/or other needs throughout the year.

Secretary (approx. 15-20 hours per week)

  1. The Secretary shall take official minutes of all MSA-OSU executive board meetings, ensuring their quality and accuracy, and producing them for executive board review after no more than five days have elapsed since the meeting for which they were taken.
  2. The Secretary is responsible for maintaining a log of the shortcomings of the Executive Board, which will be available to the Co-Presidents and Advisor to discuss changes that need to be made in order to avoid said shortcomings.
  3. The Secretary shall announce all upcoming meetings at least twenty-four hours prior to their convening.
  4. The Secretary shall be the event planner, and be responsible for all room bookings and reservations, completion of necessary forms and paperwork, and maintaining communication with the offices and individuals necessary for achieving this task.
  5. The Secretary shall be in correspondence with all speakers after events by sending thank-you cards.
  6. The Secretary shall maintain necessary supplies, organization and cleanliness of the MSA-OSU office through delegation to the rest of the Executive Board.
  7. The Secretary shall inventory the office and make it available to the Executive Board
  8. The Secretary shall submit a weekly update at executive board meetings, with the discretion of the Co-Presidents, of all transactions, reservations, as well as any relevant information.
  9. The Secretary shall maintain a file to include any and all documentation of official business, through both electronic and paper methods, conducted by MSA-OSU. This file shall be kept as an archive of MSA-OSU activity and shall include items from all aspects of organizational operations, executive board positions, committees, and all other elements of MSA-OSU.
  10. The Secretary is responsible for updating the electronic calendar with all MSA-OSU events.

Finance Chairperson (approx. 10 hours per week)

  1. The Finance Chairperson shall collect and maintain physical and electronic documentation and receipts of incoming and outgoing funds from MSA-OSU accounts, maintain a ledger of transactions, audit and reconcile said ledger in reference to account statements issued by the financial institution with which funds are deposited, and reconcile all reimbursements that occur while conducting MSA-OSU business.
  2. The Finance Chairperson is to be a co-signer on all financial transactions alongside the Co-Presidents not limited to checks.
  3. The Finance Chairperson shall work to guarantee sufficient funds are maintained so as to properly fund and facilitate the execution of MSA-OSU’s events; strategically planning the funding of events in order to minimize or recover costs so as to maintain MSA-OSU funds.
  4. The Finance Chairperson shall be responsible for confirming the appropriation of funds with the executive board before releasing funds.
  5. The Finance Chairperson shall work with members of the executive board in order to minimize event expenditures and propose alternative funding, possibilities, or cost cutting strategies.
  6. The Finance Chairperson shall maintain a working relationship with sponsors and donors by:
    1. Utilizing sponsorships and donations for all MSA-OSU events when possible.
    2. Providing sponsors and donors with an invoice stating the exact amount and nature of the sponsorship or donation.
    3. Recording and documenting all sponsorships and donations made to MSA-OSU.
    4. The Finance Chairperson shall be responsible for collecting all pledged donations raised through fundraising events.
  7. The Finance Chairperson shall be responsible for providing the executive board with an account balance update at every MSA-OSU meeting and a detailed account update at the beginning of every month for all MSA-OSU accounts.
  8. The Finance Chairperson shall produce a physical and electronic MSA-OSU budget projection before each semester to estimate expenses, a mid-semester analysis to evaluate usage of funds, and an end of the semester comparative analysis of projected versus actual fund utilization.
  9. The Finance Chairperson shall work with the Co-Presidents to resolve emergency funding issues if and when they arise and will provide the executive board with a detailed update at the first meeting of the executive board after their resolution.
  10. The Finance Chairperson is required to have a committee in order to obtain a broader perspective and more ideas from the general body members in accordance with Article VII Section 4.
  11. The Finance Chairperson shall submit a weekly update at executive board meetings, with the discretion of the Co-Presidents, of all transactions, ledgers, as well as any relevant information.

Education Chairpersons (approx. 20 hours per week)

  1. The Education Chairpersons positions shall be filled by one male and one female.
  2. The Education Chairpersons shall design a curriculum requiring the approval of the MSA-OSU executive board, which should reflect an understanding and appreciation that satisfies the needs of the MSA-OSU members. Additionally, the curriculum shall reflect the mission and goals of MSA-OSU, abide by the Adam X clause as defined in Article I Section 2, and shall encompass a broad understanding of the Islamic intellectual tradition.
  3. The Education Chairpersons shall be responsible for the planning and implementation of at least four (4) events per month, taking into consideration academic breaks, in the forms of classes, seminars, lectures, halaqat, and social events.
  4. The Education Chairpersons shall organize halaqat, which will be offered on a weekly basis to provide an educational outlet to Muslim students.
  5. The Education Chairpersons shall collaborate with the Brotherhood and Sisterhood Chairpersons on the educational aspect of MSA-OSU social events.
  6. In the instance that the MSA Midwest Conference does not take place at the Ohio State University, the Education Chairpersons shall be the liaison between MSA-OSU and the hosting MSA.
  7. The Education Chairpersons shall submit a weekly update at executive board meetings, with the discretion of the Co-Presidents, of all plans, activities, as well as any other relevant information.
  8. The Education Chairpersons are required to have a committee in order to obtain a broader perspective and more ideas from the general body members in accordance with Article VII Section 4.

Marketing Chairperson (approx. 7-10 hours per week)

  1. The Marketing Chairperson shall be responsible for publicizing all MSA-OSU activities and events through the following:
    1. Posting event information and updating the MSA-OSU social media platforms, not limited to Facebook, Twitter, Instagram, and Snapchat.
    2. Designing and posting flyers around the Ohio State University campus.
    3. Coordinating with on-campus and off-campus media outlets with the discretion of the Co-Presidents and/or advisor to ensure news coverage of MSA-OSU events and activities.
    4. Informing faculty and staff of MSA-OSU events.
    5. Advertising in local masjids through posters, flyers, and masjid newsletter advertisements.
  2. The Marketing Chairperson is responsible for maintaining a relationship with the Photography Director, advising them on relevant matters and communicating expectations to them regarding their photography duties in accordance with Article VI.
  3. The Marketing Chairperson shall submit a weekly update at executive board meetings, with the discretion of the Co-Presidents, of all plans, activities, as well as any other relevant information.
  4. The Marketing Chairperson is required to have a committee in order to obtain a broader perspective and more ideas from the general body members in accordance with Article VII Section 4.

Internet Technology (IT) Chairperson (approx. 10 hours per week)

  1. The IT chairperson shall moderate and maintain the MSA-OSU mailing list, screening emails, and approving or rejecting based upon the MSA-OSU email list guidelines, and adding or removing members based on requests received via the website, or membership forms.
  2. The IT chairperson shall maintain and update the MSA-OSU website, ensuring the proper functioning of the website and updating relevant event information.
  3. The IT Chairperson shall be responsible for coordinating ticket sales for MSA-OSU events when needed.
  4. The IT chairperson shall provide technological support to other executive board members, task forces, and ad-hoc committees as necessary. IT related support may take the forms of creating online surveys, and creating and querying databases.
  5. The IT Chairperson shall submit a weekly update at executive board meetings, with the discretion of the Co-Presidents, of all plans, activities, as well as any other relevant information.
  6. The IT Chairperson is required to have a committee in order to obtain a broader perspective and more ideas from the general body members in accordance with Article VII Section 4.

Brotherhood & Sisterhood Chairpersons (approx. 10-12 hours per week)

  1. The Brotherhood and Sisterhood Chairpersons shall divide the elements of planning and implementation of a monthly GBM and weekly social events according that which is deemed most appropriate for an event or activity.
  2. The Brotherhood and Sisterhood Chairpersons shall be responsible for facilitating sports activities for respective MSA-OSU.
  3. The Brotherhood and Sisterhood Chairpersons shall be responsible for organizing the annual fall and spring semester barbeques.
  4. The Brotherhood Chairperson shall be responsible for serving as an alternate Salat al-Jum`ah Khatib, or, if not able to personally serve in such a capacity, maintain the availability of an alternative Khatib at every Salat al-Jum`ah
  5. The Brotherhood and Sisterhood Chairpersons shall submit a weekly update at executive board meetings, with the discretion of the Co-Presidents, of all plans, activities, as well as any other relevant information.
  6. The Brotherhood and Sisterhood Chairpersons are required to have a committee in order to obtain a broader perspective and more ideas from the general body members in accordance with Article VII Section 4.

Outreach Chairpersons (approx. 10 hours per week)

  1. The Outreach Chairpersons positions shall be filled by one male and one female.
  2. The Outreach Chairpersons shall aid the Brotherhood and Sisterhood Chairpersons in external recruitment through:
    1. Utilizing promotional tables in the Ohio Union, and
    2. Aiding in the recruitment of new members at Salat al-Jum’ah and all MSA-OSU events.
  3. The Outreach Chairpersons shall be responsible for coordinating with other student clubs and organizations to cosponsor and collaborate on events and activities.
  4. The Outreach Chairpersons are responsible for hosting one small scale monthly event
    1. Suggested events include a coffee table, a presentation to general body members, a workshop, etc.
  5. Maintain a working relationship with student organizations that have members that can benefit from the services provided by the MSA-OSU.
    1. This can be done by attending other organization’s events or inviting them to MSA-OSU events
  6. The Outreach Chairpersons shall submit a weekly update at executive board meetings, with the discretion of the Co-Presidents, of all plans, activities, as well as any other relevant information.
  7. The Outreach Chairpersons are required to have a committee meeting in order to obtain a broader perspective and more ideas from the general body members in accordance with Article VII Section 4.

Community Service Chairperson (approx. 10 hours per week)

  1. The Community Service Chairperson shall be responsible for finding service projects on campus and in the Greater Columbus community; moreover, the Community Service Chairperson will lead at least one service project per month during the course of the semester (Fall and Spring).
  2. The Community Service Chairperson shall submit a weekly update at executive board meetings, with the discretion of the Co-Presidents, of all plans, activities, as well as any other relevant information.
  3. The Community Service Chairperson is responsible for maintaining a relationship with the Project Downtown Director, advising them on matters relevant to Project Downtown (see Article VI).
    1. The Community Service Chairperson is required to attend at least one Project Downtown event per academic month.
  4. The Community Service Chairperson is responsible directing their volunteers to weekly local service events  (ex. MY Family Pantry on Saturday morning).
  5. The Community Service Chairperson is responsible for exploring the possibility of hosting one large scale service event per year (ex. Feed the Hungry).
  6. The Community Service Chairperson is required to have a committee in order to obtain a broader perspective and more ideas from the general body members in accordance with Article VII Section 4.
